The Operations Coordinator at Stockard Capital provides essential operational infrastructure that enables seamless client service delivery.

This role combines process management, technology coordination, compliance support, and administrative excellence. You’ll work behind the scenes to ensure accuracy, efficiency and regulatory compliance across all firm activities while supporting client-facing colleagues.

Operations Coordinators develop comprehensive understanding of how sophisticated practices function, build relationships across all teams, and frequently advance into client service, investment operations, or compliance roles.

An Operations Coordinator at Stockard Capital has the following key responsibilities:

  • Manage complete client onboarding process from initial paperwork through account establishment, including collection of required documentation (identification, financial statements, accreditation verification), completion of custodial account applications, establishment of online access and coordination with internal teams on setup requirements

 

  • Coordinate with custodians, fund administrators, transfer agents, and other service providers to process transactions, resolve discrepancies, obtain documentation and ensure accurate record-keeping across all client accounts

 

  • Maintain client databases and portfolio management systems with meticulous accuracy, performing regular data quality checks, updating account information, entering cash flows and transactions and ensuring information consistency across platforms

 

  • Support technology implementations and system enhancements by participating in vendor selection processes, testing new features, documenting workflows, training team members, and troubleshooting technical issues

 

  • Prepare quarterly reporting packages by generating performance reports from portfolio management system, compiling custodial statements, creating consolidated balance sheets and quality-checking output before client delivery

 

  • Process client requests including distribution processing, document retrieval, report generation, and information gathering with attention to accuracy and timeliness

 

  • Manage vendor relationships and service level agreements by monitoring performance metrics, coordinating periodic reviews, processing invoices and escalating service issues when necessary

 

  • Maintain physical and electronic filing systems with organised storage of client documents, meeting notes, account agreements and regulatory filings according to retention policies

 

  • Support meeting preparation by assembling background materials, creating presentations, taking minutes, distributing action item lists and following up on outstanding tasks

 

  • Coordinate investment operations activities including trade settlement monitoring, capital call processing, distribution receipts and K-1 distribution tracking for alternative investments

 

  • Assist with special projects such as process improvement initiatives, system migrations, policy documentation, or operational due diligence for prospective clients

 

  • Provide general administrative support to investment and planning teams including calendar management, travel arrangements, expense processing and correspondence

 

  • Serve as backup coverage for client service team during vacations or high-volume periods

Qualifications

  • Bachelor’s degree in finance, business administration, accounting, or related field preferred; candidates with relevant experience and strong aptitude considered without degree

 

  • 2-4 years of experience in operations, administration, project coordination or related role; financial services background helpful but not required for candidates with transferable skills

 

  • Strong technology aptitude with advanced Microsoft Office proficiency (especially Excel), comfort learning new systems quickly and experience with database management or CRM platforms

 

  • Meticulous attention to detail with commitment to accuracy; ability to catch errors, identify inconsistencies, and maintain quality standards across high-volume workflows

 

  • Excellent organisational and time management skills with proven ability to prioritise effectively, meet deadlines consistently, and manage multiple concurrent projects

 

  • Process-oriented mindset with interest in efficiency improvement; asks “why do we do it this way?” and proposes enhancements to existing workflows

 

  • Strong written and verbal communication skills appropriate for professional environment; ability to communicate effectively with both internal colleagues and external service providers

  • Performance-based annual bonus: 10–20% of base salary based on operational accuracy metrics, project contributions, and professional development progress
